Privacy Policy

This policy explains what Aktoria Robotics, Inc. ("Aktoria", "we") collects when you use aktoria.com (the "Site") and when your organisation uses our teleoperation software, Robot Operations Center and training-data services (the "Service"). Aktoria is a business-to-business company: our customers are organisations, and most of the data we process is processed on their behalf.

Data collected on the Site

Contact form. When you book a call or contact us through the Site we collect the fields you submit: name, email address, company, what you are interested in, and your message. We use these only to reply to you and to follow up on your request. Submissions are currently relayed to founders@aktoria.com through a third-party form relay [confirm current relay provider and whether it stores copies].

Analytics and cookies. The Site does not currently run analytics, advertising trackers or non-essential cookies. The Site loads fonts from Google Fonts, which receives your IP address as part of serving the font files. If we add analytics in future we will update this policy first.

Server logs. Our hosting provider keeps standard request logs (IP address, user agent, requested URL, timestamp) for security and operational purposes [confirm host log retention].

Data processed in the Service

When a customer deploys Aktoria, the Service processes data generated by the customer's robots and by our operators. This includes:

  • Robot telemetry - joint states, sensor readings, status and latency metrics.
  • 3D reconstructions - a depth-based reconstruction of the robot's workspace, rendered for the operator.
  • Operator actions - the commands an operator sends to the robot during a session.
  • Episodes - each session is logged as an episode that pairs the above streams in time.

Operators act on the 3D-reconstructed workspace. Raw camera images and video from the customer site are not transmitted to operators. Where a customer chooses to record raw sensor streams for training-data purposes, this is configured by the customer and governed by the customer agreement.

We process Service data as a processor on behalf of the customer, under the customer agreement and, where applicable, a data processing addendum. The customer decides what their robots observe and is responsible for any personal data that may be incidentally captured in a workspace. Aktoria does not use customer episodes to build products for other customers unless the customer agreement expressly allows it.

Operator and staff data

Our teleoperators are employed by Aktoria and its affiliates. We process their employment, scheduling, performance and session-log data as their employer, under our internal staff policies and applicable local law in the USA, Mexico and India.

How we use data

  • To provide, operate, secure and support the Service.
  • To respond to enquiries and manage customer relationships.
  • To measure and improve latency, reliability and operator performance.
  • To comply with law and enforce our agreements.

We do not sell personal data and we do not use it for third-party advertising.

Retention

Site contact-form submissions are kept for as long as needed to handle the enquiry and for up to 24 months after our last contact [confirm retention period]. Service data is retained for the term of the customer agreement and for a short wind-down period after termination, after which it is deleted or returned as the agreement specifies [confirm post-termination period]. Customers can request earlier deletion of their episodes at any time.

Subprocessors and sharing

We use a small number of infrastructure and tooling providers (cloud hosting, real-time transport relays, email) to run the Site and the Service. These providers process data only under our instructions. A current list of subprocessors is available on request from founders@aktoria.com. We may also disclose data where required by law, or in connection with a merger, acquisition or financing, in which case this policy continues to apply to that data.

International transfers

Aktoria operates from the USA, Mexico and India. Data may be processed in any of those locations and in the regions of our cloud providers. Where the law requires, we use appropriate safeguards such as standard contractual clauses for cross-border transfers [confirm transfer mechanism with counsel].

Security

Data is encrypted in transit. Access to Service data is restricted to staff who need it to run or support the Service. See our Data handling page for the commitments buyers most often ask about.

Your rights

Depending on where you are, you may have the right to access, correct, delete or port personal data we hold about you, to object to or restrict certain processing, and to complain to a supervisory authority. To exercise these rights email founders@aktoria.com. If your data is processed on behalf of one of our customers, we will route your request to that customer. We do not discriminate against anyone for exercising their rights.

Children

The Site and Service are for businesses and are not directed at children under 16. We do not knowingly collect data from them.
